Saved & Shared Views

Once you’ve built a Workbench view, you can save it for reuse and share it with others in your org. Shared views ensure everyone works from the same data perspective without RevOps rebuilding views on demand.
Saved views
Your saved views appear in the dropdown at the left side of the Workbench toolbar. These include views you’ve created and views others have shared with you. Shared views are indicated by a group icon.
When you save changes to a view, those changes are immediately reflected for everyone the view is shared with.
Sharing a view
Go to the gear icon in the toolbar and select Share View. You can share with:
- Individual users — Search for and select a specific person.
- Groups — Share with a Salesforce public group.
- Role and subordinates — Share with everyone in a specific role and all roles beneath it. For example, selecting “VP Sales” shares with the entire sales organization.
Read-only vs. read-write
When sharing, you can set the permission level:
- Read only — The recipient can use the view but cannot modify it.
- Read-write — The recipient can edit the view configuration.
TIP
For most shared views, use read-only access. This ensures the view stays consistent for everyone. Reserve read-write for views that specific managers or RevOps team members need to customize.
Managing shares
The Current Shares table shows everyone the view is currently shared with. Use the trash can icon to remove a share. If you shared with both an individual and a role that includes that individual, you can remove the individual share since the role share already covers them.
